Procedures: Flyers, Eblasts & Website Submissions
Flyers (a paper version of a flyer that is sent out to the entire Enfield/Erdenheim community):
1. All flyers need to be sent to Nancy McDonald & Donna Bailey (presidents@eehsp.org), & Chris Bradley (chris_bradley@sdst.org) and/or Karen Alston (Karen_Alston@sdst.org) for approval (approvals from the Principals are dependent upon the building(s) where the event takes place). As a committee chair, it is your responsibility to have your flyer approved. All flyers should be submitted electronically in PDF format and emailed to the above people for approval with adequate lead time. Significant revisions to a flyer require a final round of approvals from the above people as appropriate.
2. The front offices’ assistants are sometimes available to copy your flyer and distribute them to each homeroom for backpack mail. Please call ahead to ask if they can or cannot help. If they cannot, there are two copy centers at Erdenheim and one at Enfield. The school will provide the copy paper (please DO NOT use red for any type of form/reply.) The HSP will not pay for flyers to be copied at outside copy centers such as Kinko’s, Staples, etc.
Eblast (an email version of a flyer that is sent out to the entire Enfield/Erdenheim community, which provides highlights for an activity/event):
1. If you want your flyer to ALSO be sent as an eblast, please request that when submitting for approval for your flyer. Send the Word.doc version of your flyer to the communication liaisons (Dina Davidson and Laura Bauder) at communicationsliaisons@eehsp.org by Thursday the week before you would like it sent out. Please specify which day the following week you would like the eblast sent.
2. If you are sending only an eblast communication or subsequent eblasts after the initial flyer/eblast, you need to submit all of the text/copy for the eblast to the communication liaisons at communicationsliaisons@eehsp.org by Thursday the week before you would like it sent out. Please specify which day the following week you would like the eblast sent.
Like flyers, all eblasts need to be sent to Nancy McDonald & Donna Bailey (presidents@eehsp.org), & Chris Bradley (chris_bradley@sdst.org) and/or Karen Alston (Karen_Alston@sdst.org) for approval (approvals from the Principals are dependent upon the building(s) where the event takes place). The Communications Liaison handling eblasts will ensure approvals are acquired.
3. We cannot send out communications without your written text/copy. Please keep your copy brief and succinct. Make sure to include all crucial information like what, why, where, when, how much and how parents are to respond to your request. Be aware that text may be subject to edits/corrections.
Website (for providing more detailed information to be permanently accessible):
1. Posts for website should be sent to Nancy & Donna (presidents@eehsp.org) for approval with the specific information you would like posted.
2. Please specify where on the website you would like the information posted, and what your deadline for posting is.
3. Posts should be sent to Nancy & Donna by the Wednesday prior to the week you would like your activity information posted. Communications Liaison should receive approval by the next day (Thursday) so they have adequate time to post the information on the website.
